The Empire9 Digital Ownership Checklist

• Ensure your accounts are all owned by your organisation, not your old agency or previous head of marketing! Limit full admin access to only the most necessary stakeholders.

• When a colleague leaves the business, ensure their data is all archived and admin/ownership status is removed on platforms like Meta Business Manager and the full suite of Google products. Set up a step-by-step process to ensure this is executed consistently.

• Change known company passwords between employee exits and new hires. Use a secure platform to set up reminders and store passwords for all employees. We’re talking about platforms like Instagram, Teams, and any scheduling or data storage tools.

• Keep a record of old passwords & old administrators for all digital profiles.

• When getting your website developed, be sure to ask about ownership and source code at all levels.

• Implement regular backups of critical digital data, including website content, customer databases, and advertising campaign data – store this on secure yet accessible platforms.

• Maintain detailed documentation on digital processes and protocols. This keeps everyone on the same page.
